Special Orders & Down Payments

Competitive Card Solutions Phils. Inc. (CCS)

CCS accommodates special orders, customized products, and large-quantity purchases to meet our customers' specific requirements.

Depending on the product, order quantity, and procurement arrangements, a down payment may be required before processing.

This guide explains our special-order procedures, down payment requirements, payment schedules, and cancellation conditions.

1. What Is a Special Order?

A special order is a purchase that requires specific procurement, customization, or arrangements beyond our regular stocked products.

Examples include:

  • Products that are not currently available in stock

  • Equipment specifically ordered from a supplier

  • Unusually large-quantity purchases

  • Customized or personalized products

  • Products requiring special specifications or configurations

Special-order availability and conditions depend on the product, supplier, quantity, and customer requirements.

2. Does CCS Accept Orders for Out-of-Stock Products?

Yes. CCS may accept orders for products that are temporarily unavailable.

Our Sales team will check supplier availability and provide an estimated lead time and applicable payment terms.

For commonly sold products, CCS may accept certain orders without requiring an initial down payment.

For products specifically procured to fulfill a customer's order, a down payment may be required.

All arrangements are subject to confirmation.

3. Which Orders Require a 50% Down Payment?

CCS requires a 50% down payment before production begins for customized products.

Examples include:

  • Printed ID Cards

  • Customized Lanyards

  • Other personalized or made-to-order products

A 50% down payment may also be required for:

  • Products purchased on an order basis

  • Unusually large-quantity orders

  • Special procurement commitments

The down payment requirement for these other order types is evaluated based on the product and commercial arrangements.

Important: Not every special order automatically requires a 50% down payment. CCS will confirm the applicable requirement before processing.

4. How Is the Down Payment Calculated?

For orders requiring a 50% down payment, the deposit is calculated using the applicable confirmed order amount.

For example:

Order Amount50% Down PaymentRemaining Balance
₱10,000₱5,000₱5,000
₱20,000₱10,000₱10,000
₱50,000₱25,000₱25,000
₱100,000₱50,000₱50,000

Any separately quoted delivery, installation, or other charges will follow the agreed quotation terms.

5. When Does CCS Begin Processing a Special Order?

For customized products requiring a down payment, processing or production begins after CCS receives and verifies the required 50% down payment and confirms the necessary order specifications.

For other special orders, processing depends on the approved procurement and payment arrangements.

Customers should ensure that product specifications, quantities, artwork, and other requirements are correct before confirming the order.

6. When Must I Pay the Remaining Balance?

The remaining balance depends on the agreed delivery or shipping arrangement.

CCS In-House Delivery

For eligible orders delivered by CCS's own logistics team, usually within Metro Manila, Cebu, or Davao, the remaining balance may be collected upon delivery under an approved Cash on Delivery (COD) arrangement.

Courier or Freight Shipping

For regular third-party courier shipments, the remaining balance must be paid and verified before shipment.

LBC Cash on Delivery

CCS also offers COD through LBC Express for eligible orders, subject to service availability and confirmation of the payment and shipping arrangements.

Payment conditions will be specified or confirmed before the order proceeds.

7. How Long Do Special Orders Take?

Lead times depend on factors such as:

  • Supplier stock availability

  • Product type and quantity

  • Manufacturing or customization requirements

  • Artwork approval and production schedules

  • Shipping method and destination

  • Importation or special procurement requirements, when applicable

Our Sales team will provide an estimated lead time based on the specific order.

Please note: Special-order lead times are estimates and may change due to supplier or logistics conditions.

8. Can I Change a Special Order After Confirmation?

Changes may be accommodated depending on the order's current status.

Before Production

Requests to change artwork, specifications, quantities, or other details may be reviewed before production begins.

During Production

Changes may be limited once production has started and could result in additional charges or delays.

All modifications are subject to CCS confirmation.

Customers are encouraged to review and approve their requirements carefully before production.

9. Can I Cancel a Special Order?

Cancellation requests depend on the product and stage of fulfillment.

Standard and Commonly Sold Products

Cancellation requests are evaluated individually, considering the order status and applicable arrangements.

Customized Products

For customer-initiated cancellations after production has begun, the 50% down payment is non-refundable under CCS's commercial cancellation policy.

Other special-order cancellation requests are evaluated case by case.

Applicable consumer rights and remedies for defective or incorrectly supplied products remain unaffected.

For more information, refer to our Return Merchandise Authorization (RMA) Policy.

10. Can I Request a Large-Quantity Order?

Yes. CCS accommodates large-volume requirements for products such as:

  • ID Card Printers and consumables

  • Blank PVC, RFID, and smart cards

  • Printed ID Cards and lanyards

  • Barcode equipment

  • Biometrics and access control equipment

  • Walkthrough metal detectors and X-ray baggage scanners
