Returns, Exchanges & Cancellations

Competitive Card Solutions Phils. Inc. (CCS)

At CCS, we strive to ensure that customers receive the correct products in good condition.

If you need to request a return, exchange, refund or order cancellation, this guide explains our standard procedures and requirements.

All requests are subject to the applicable CCS Return Merchandise Authorization (RMA) Policy, product conditions and consumer protection laws.

1. Can I Return or Exchange a Product?

Yes. CCS accepts eligible return, exchange and replacement requests, subject to assessment and approval.

Our standard RMA request periods are:

Request TypeStandard Request Period
RefundWithin 3 calendar days from the date you actually receive the product
Voluntary ExchangeWithin 7 calendar days from the date you actually receive the product
Defective on Delivery (DOA) or Wrong Item Supplied by CCSWithin 3 calendar days from the date you actually receive the product
Warranty RepairSubject to the applicable product warranty

These periods are never calculated from the Sales Invoice, Collection Receipt or shipping date. Submitting a request does not guarantee approval.

These periods apply to requests under CCS's standard commercial RMA procedures. They do not eliminate remedies available under applicable consumer protection laws.

For full details, visit our RMA Policy.

2. When Can I Request a Refund?

Refund requests under our standard RMA procedure are generally considered for products that are defective or do not operate as represented.

Standard commercial refund requests must be submitted within 3 calendar days from the date you actually receive the product. This period is never calculated from the Sales Invoice, Collection Receipt or shipping date.

Refund eligibility is determined after CCS evaluates the circumstances, product condition and applicable warranty or consumer rights.

Submission of a request does not automatically guarantee a refund.

3. Can I Exchange a Product I Ordered Incorrectly?

CCS may accommodate exchanges when a customer accidentally orders an incorrect product or model.

Voluntary exchange requests must be submitted within 7 calendar days from the date you actually receive the product.

A voluntary exchange applies to a product that CCS supplied correctly and requires CCS approval. Voluntary exchanges and other exceptions are evaluated case by case. Eligibility depends on:

  • Original packaging being available

  • Product being unused and in resellable condition

  • Complete accessories and supplied components

  • Product passing CCS inspection

  • Availability of the replacement product

For an approved voluntary exchange, the customer pays the shipping costs in both directions and any price difference. If the replacement product costs less than the original, CCS will first offer additional products to cover the difference; if you decline, CCS will refund the difference. This applies only to standard, resellable products and only when the other exchange conditions are met. Other applicable arrangements will be confirmed before the exchange.

Products are not automatically refunded because of a change of mind.

4. What If I Received a Wrong, Damaged or Defective Product?

Please contact CCS Customer Service promptly.

Prepare the following information when available:

  • Sales Invoice or order reference

  • Product brand and model

  • Product serial number, when applicable

  • Description of the issue

  • Photos or videos showing the problem

  • Photos of the original packaging, especially for shipping damage

Claims for products that are defective on delivery (DOA) or wrongly supplied by CCS must be reported within three (3) calendar days from the date you actually receive the product. This does not by itself remove remedies available under Philippine consumer protection law.

Our team will evaluate the concern and advise the appropriate procedure.

Important: Complaints involving incorrectly supplied or defective goods are assessed based on their circumstances and applicable consumer rights, not solely on whether the product remains unused.

5. How Do I Request a Return or Exchange?

Step 1 – Contact CCS Customer Service

Explain your concern through our official communication channels.

Step 2 – Provide the Order Details

Supply your invoice or order reference, product details and reason for the request. A missing invoice copy does not by itself prevent a request; CCS may verify the purchase using its Zoho Books sales records.

Step 3 – Request Return Authorization

Wait for CCS Customer Service to review the request and provide return instructions.

Step 4 – Prepare the Product

Follow the packaging and return requirements provided by CCS.

Step 5 – Product Inspection

Once received, the product will undergo the necessary inspection and assessment.

Step 6 – Resolution

CCS will advise whether the request qualifies for an exchange, replacement, repair, refund or another appropriate resolution.

Please do not send or bring products for return or repair without prior authorization from CCS Customer Service.

This authorization step does not restrict your statutory rights.

Who Pays Shipping Costs?

  • Approved voluntary exchange: the customer pays the shipping costs in both directions and any price difference.
  • Wrong product supplied by CCS (different from the confirmed order): CCS pays the return shipping of the wrong item and the delivery of the correct replacement. CCS Customer Service coordinates and authorizes the return. This is not a voluntary exchange.
  • Defective on delivery (DOA): when a DOA is confirmed and qualifies for return or replacement, CCS pays the return shipping and the delivery of the replacement or resolved product. If you suspect a product is DOA, contact CCS Customer Service for assessment and authorization; where feasible, Customer Service will arrange the return shipping. If you prepay a courier charge that CCS has authorized or approved, CCS will reimburse it when the DOA is confirmed. If inspection finds no defect, CCS will decide responsibility for shipping costs case by case, considering whether the issue could reasonably have been resolved through remote assistance, whether potential shipping charges were explained before the return was authorized, and other relevant circumstances.
  • Normal warranty repair (approved in-warranty repair after normal use): the customer pays shipping to CCS; CCS pays the shipping to return the repaired or replacement product.
  • Out-of-warranty repair: the customer pays the shipping costs in both directions; service and parts charges are handled separately.

6. Are Any Products Restricted From Returns or Exchanges?

Under CCS's commercial return policy, certain products have restrictions, including:

  • Activated software licenses

  • Customized printed ID cards

  • Personalized lanyards

  • Customized RFID labels, stickers and similar media

  • Specially ordered or order-basis products

  • Modified standard products

  • Services already rendered

These restrictions generally concern discretionary returns or customer-initiated changes.

They do not automatically exclude remedies for defective, incorrectly supplied or misrepresented products where applicable law provides protection.

7. Can I Cancel an Order?

Cancellation requests for standard products are evaluated case by case.

Approval depends on the order status, procurement arrangements and applicable conditions.

Customers should contact CCS as soon as possible when requesting cancellation.

A cancellation request does not automatically guarantee a refund.

8. Can I Cancel a Customized Order?

Customized products, such as printed ID cards and personalized lanyards, normally require a 50% down payment before production.

For customer-initiated cancellations after production has begun, the 50% down payment is non-refundable under CCS's commercial cancellation policy.

If production has not started, cancellation requests will be reviewed according to the order arrangements.

This policy does not remove legal remedies relating to defective or incorrectly supplied products.

9. Can I Change My Order After Confirmation?

Standard Products

Changes are generally possible before dispatch, subject to product availability, price adjustments and CCS confirmation.

Customized Products

Changes to artwork, quantities, specifications or other requirements depend on production progress.

Changes requested after production begins may involve additional charges or delays.

Please contact CCS as early as possible to request modifications.

10. What If My Product Develops a Problem After the Return Period?

If a product develops a problem after the standard RMA request period, it may still qualify for warranty assistance.

Warranty coverage depends on the product, its warranty period, the nature of the issue and applicable warranty conditions.

Contact CCS Technical Support for initial troubleshooting.

If inspection or repair is necessary, CCS Customer Service will provide the authorization and submission instructions.

See our Warranty Policy.

For an approved voluntary exchange, you pay the shipping costs in both directions and any price difference. If the replacement ribbon costs less than the original, CCS will first offer additional products to cover the difference and will refund the difference if you decline, for standard, resellable products when the other exchange conditions are met.

Q: Can I request a refund after 3 days?

You may still report a product concern. The 3-calendar-day period, counted from the date you actually receive the product, is the standard CCS commercial refund request window; applicable legal rights and warranty remedies remain available.

Q: Can I return an activated CardExchange license?

Activated software licenses are generally excluded from discretionary returns under the CCS RMA policy. Contact Customer Service if your concern involves a defective or incorrectly supplied license.

For customer-initiated cancellation after production has begun, the 50% down payment is non-refundable under the commercial cancellation policy, subject to applicable consumer rights.
